The tent sets the tone for your entire reception. Each type creates a different atmosphere, and the right match depends on your venue, guest count and aesthetic.

How Big Does Your Tent Need to Be?

Tent sizing comes down to two numbers: how many guests you have and whether they'll be seated or standing.

Add 10–15% extra space for a dance floor, DJ booth, buffet line or bar. A band with a stage can eat up 200–400 sq ft on its own. If you're planning a dance floor, budget 3–4 sq ft per guest who will actually dance — typically 30–40% of your total headcount.

When to Book

Peak wedding season runs June through September in most of the US. Tent inventory is finite — especially for sailcloth tents, which are expensive to manufacture and every rental company only owns so many.

9–12 months ahead for summer and early fall weddings.

6–9 months for spring or late fall dates.

3–6 months for winter weddings or off-peak locations.

Sailcloth and clear span tents book out fastest. If that is your tent type, err on the early side.

Questions to Ask Your Rental Company

Not all rental companies are equal. These questions will separate the experienced operators from the ones that show up and hope for the best.

Do you do a site visit before quoting? Any company worth hiring will want to see the ground, measure slopes, check access for trucks and identify utility lines.

What is your rain plan? A tent keeps rain off your guests, but drainage, sidewalls and gutter systems matter. Ask what happens if the ground floods.

Are permits required? Many municipalities require permits for structures over a certain size. Your rental company should know the local rules or handle the filing for you.

What power do you provide? Lighting, sound and catering all need electricity. If the venue has no hookup, you need a generator — ask about noise levels and placement.

Do you handle restrooms? If your venue doesn't have facilities, you'll need portable restrooms. Some tent companies bundle them; others subcontract.

What is your cancellation policy? Weather cancellations, date changes and refund terms vary widely.

Is setup and teardown included in the price? Almost always yes, but confirm the timeline. Most companies deliver the day before and pick up the day after.

Common Mistakes

Ordering too small. Guests need room to move, and your caterer, bar and DJ all need space. Size up.

Ignoring the ground. Muddy, sloped or rocky terrain can require flooring, grading or a different tent type entirely.

Forgetting about access. The truck delivering your tent needs to get within 50–100 feet of the setup area. Narrow gates, bridges with weight limits and long gravel drives all create problems.

Skipping insurance. Your venue may require a certificate of insurance from the rental company. Confirm this before signing.
